Job description

The Administrative Assistant will be responsible for the La Jolla office management and reception responsibilities, including but not limited to travel booking, event planning, and general maintenance of the office. This person should be a highly driven, organized, and communicative individual that thrives in a fast-moving environment. This person will provide corporate administrative and operational support as directed by the Senior Director, Corporate Finance and Administration and CEO.

This is a temporary position that has the ability to become a longer term role within our team.

Seniority level will be based on candidate experience.

Requirements

  • 3-5 experience as an executive administrative assistant, senior executive assistant or in other administrative position
  • Full comprehension of proactive administrative duties and procedures
  • Exemplary planning, organization, and time management skills
  • Up to date with advancements in office gadgets and applications
  • High level verbal and written communications skills
  • Attention to detail
  • Candidate must be capable of meeting the physical demands of the role. Including but not limited to, assembling workspaces, and hanging conference material.
  • Proactive and the ability to anticipate the needs of the office and supported leadership.
  • Passionate about communicating and bringing people together
  • Current driver’s license and ability to travel is required. Maintain legally required insurance
  • Excellent computer skills working with various office equipment, computers and various programs including Word, Outlook, PowerPoint, Excel, etc. and the ability to effectively work on spreadsheets, word processing, networking, and e-mail programs
  • Have a high tolerance for uncertainty
  • Flexible and cooperative with a well-developed team spirit preferred
  • Notary Public certification preferred but not required

Responsibilities

  • Handle incoming calls, emails, requests and queries from onsite and remote employees and visitors appropriately
  • Prepare presentations for weekly, monthly, quarterly and annual meetings
  • Assist with travel scheduling and organization as necessary
  • Administrative duties such as scanning, sorting mail, filing, office organization, assessing needs and ordering of furniture, fixtures and equipment
  • Assist where necessary in the onboarding of new employees
  • Manage administrative tasks, scheduling and operational support of company parties, conferences and corporate events
  • Arrange meetings and appointments inclusive of catering as needed
  • Make travel arrangements for employees and incoming client visits as needed
  • Monitor office and kitchen supplies and research advantageous deals or suppliers
  • Help to manage vendors that support the operations of the organization
  • Produce reports, presentations, and briefs as directed
  • Manage any facility needs
  • Support CEO and Senior Director, Corporate Finance and Administration with other tasks as necessary
